01Overview
This Privacy Policy explains what personal data Qyntrax collects, why we collect it, and the choices you have. It applies to our email hosting service and website. We act as a data processor for the mail content you and your users store, and as a data controller for account and billing information.
02Data we collect
Account data you provide: your name, email address, chosen domain, and number of users. Billing data processed by our payment provider (Stripe) — we do not store full card numbers on our systems. Service data: mailboxes, messages, contacts, and calendars you store on the Service. Technical data: logs necessary to operate, secure, and troubleshoot the Service.
03How we use data
We use your data to provision and operate mailboxes, process payments and renewals, provide support, secure the platform against abuse, and meet legal obligations. We do not scan message content for advertising and we do not build advertising profiles.
04Legal bases
We process personal data to perform our contract with you, to pursue our legitimate interests in operating and securing the Service, to comply with legal obligations, and, where required, on the basis of your consent.
05Payments
Payments are handled by Stripe. Your card details are collected and processed directly by Stripe under their own terms and privacy policy. We receive confirmation of payment and limited metadata needed for billing and accounting.
06Data sharing
We share data only with service providers that help us run the Service (such as our payment processor and email-delivery relay), bound by appropriate agreements. We do not sell personal data. We may disclose data where legally required.
07Data retention
We retain account and mailbox data for as long as your account is active. After cancellation, data is retained for a limited grace period to allow recovery, then deleted. Billing records are retained as required by law.
08Security
We protect data with access controls, per-domain isolation, DKIM/SPF/DMARC, two-factor authentication, spam and antivirus filtering, and monitored, backed-up infrastructure. No system is perfectly secure, but we work to safeguard your data and to respond promptly to incidents.
09Your rights
Subject to applicable law, you may request access to, correction of, or deletion of your personal data, and may object to or restrict certain processing. You can export or delete mailbox data through your admin panel or by contacting us.
10International processing
Where data is processed across borders, we rely on appropriate safeguards consistent with applicable data-protection law, including GDPR where it applies.
